Quality Incident & Recall Policy

Avelqor Labs maintains a documented response process for situations where product identity, documentation, packaging integrity, traceability or analytical evidence becomes questionable after receipt or sale.

When a quality incident can be opened

  • mismatch between label, supplier documentation and received material;
  • damaged seal, compromised vial or packaging irregularity;
  • analytical result inconsistent with the declared material;
  • batch / lot linkage cannot be supported;
  • credible supplier correction or withdrawal notice;
  • material complaint indicating a possible documentation or quality issue.

Immediate containment

If a credible quality concern is identified, the affected inventory can be placed on internal hold and removed from active sale while the issue is reviewed. The hold does not imply a final defect determination; it prevents further distribution while evidence is assessed.

Investigation

The investigation may include review of receiving records, internal sample references, supplier documentation, photographs, shipping records, independent analytical reports and customer order records associated with the affected material.

Possible outcomes

  • release of inventory where the concern is resolved;
  • continued hold pending additional evidence;
  • correction of public documentation or batch status;
  • supplier escalation;
  • withdrawal / delisting of affected inventory;
  • customer notification where a distributed lot is materially affected;
  • refund, replacement or other remedy according to applicable order circumstances and law.

Recall / withdrawal communication

If a specific distributed lot or internal reference is withdrawn, Avelqor aims to identify the affected reference, reason for action, scope, date and customer-contact process without overstating evidence that is still under investigation.

Documentation integrity

A quality incident does not disappear when a product page is changed. Material trust-status changes are reflected in the Transparency & Change Log where appropriate, and analytical evidence remains linked through the Lot Registry & Chain of Custody.

Report a quality concern

Email contact@avelqorlabs.com with the order number, material, lot / sample reference where available, photographs, tracking information and a clear description of the concern.
