Seven COA Red Flags to Check in Research Material Documentation

A Certificate of Analysis can contain useful analytical information, but a professional layout and a high purity percentage are not enough to establish traceability.

The following seven red flags do not automatically prove that a document is false. They do indicate that additional verification may be needed before the report is relied upon as evidence for a specific research-material lot.

1. No batch, lot or sample identifier

A report that names a compound but provides no traceable sample reference is difficult to connect to physical inventory. The same compound can be produced in multiple lots, and results from one lot should not automatically be transferred to another.

2. No report, accession or task number

A laboratory report should normally have some form of unique record reference. Depending on the laboratory this may be called a report number, accession number, task number, sample ID or search code.

Without a record identifier, it becomes harder to verify the document with the issuing source or distinguish one analysis from another.

3. The issuing source is unclear or cannot be verified

A logo and laboratory-style formatting do not identify who actually performed the analysis. Check whether the report provides the laboratory’s name, contact details, website or other traceable source information.

4. A QR code is treated as proof by itself

QR codes are convenient, but anyone can place a QR code on a document. What matters is where it leads.

A useful verification code should resolve to an official source controlled by the issuing laboratory and allow the report details to be compared with the document. A code that simply opens a seller-hosted PDF, cloud-storage file or generic page should not be described as independent laboratory verification without additional evidence.

5. One purity result is used to imply unrelated quality parameters

A high HPLC purity percentage does not automatically establish identity, content, sterility, endotoxin status, microbial status or elemental impurities. Each parameter is a separate analytical question.

If a listing says “99% pure, therefore tested and safe” without identifying the actual scope of analysis, the claim is broader than the documented result. Read What Does 99% Purity Actually Mean? and HPLC vs LC-MS.

6. The client or applicant does not match the seller and no linkage is explained

A third-party report can legitimately name a different applicant. That alone does not invalidate it. The unanswered question is how the seller’s inventory is connected to the tested sample.

If the applicant is Company A and the seller is Company B, look for lot records, supplier documentation or another traceable link. If that link is not established, the accurate description may be that an analytical report exists while inventory linkage remains pending.

7. Dates, methods or results do not form a coherent record

Review the document as a timeline and analytical record, not just as a headline percentage. Questions worth checking include:

  • Does the sample receipt date occur before the test date?
  • Does the report date follow the analysis?
  • Does the report predate the claimed production lot without explanation?
  • Is the analytical method actually named?
  • Are units and reporting limits shown where relevant?
  • Do repeated versions of the report contain consistent identifiers and results?

An inconsistency may have a legitimate explanation, but it should be resolved before the document is represented as batch-specific evidence.

Red flags are prompts for verification, not automatic verdicts

Documentation review should be evidence-based. A missing field can arise from a laboratory’s reporting format, and a different applicant can be part of a legitimate supply chain. The goal is not to label every incomplete document as false; it is to identify where the evidence chain needs clarification.

A simple verification sequence

  1. Identify the issuing source.
  2. Find the report and sample references.
  3. Match the lot or batch.
  4. Review each analytical parameter separately.
  5. Compare methods, dates, units and limits.
  6. Use an official laboratory lookup where available.
  7. Confirm how the tested sample connects to current inventory.
