Why Batch Linkage Matters in Analytical Documentation

An analytical report can be genuine, detailed and issued by a real laboratory while still failing to answer one crucial question: does this report apply to the exact lot being supplied?

That question is the purpose of batch linkage.

What is batch linkage?

Batch linkage is the documented connection between a physical inventory lot and the analytical report presented for that lot. The connection may rely on a batch number, lot number or another traceable production identifier that appears consistently across the material, supplier records and laboratory documentation.

A matching compound name is not enough. Two different production lots of the same material are still different lots.

Why report ownership alone is not enough

Many third-party laboratory reports identify an applicant or client. If the client named on a report is a different company from the seller presenting it, that does not automatically make the report invalid. But it does mean the seller should explain how its inventory is connected to the tested sample.

Without that connection, the safest description is that an analytical report exists for the material while inventory linkage remains pending or unconfirmed.

What should be compared?

When reviewing batch linkage, compare the following where available:

  • material or compound name,
  • batch or lot identifier,
  • report, accession or task number,
  • applicant or client shown on the report,
  • sample receipt and testing dates,
  • supplier or production documentation, and
  • the lot identifier on the inventory actually being supplied.

Why dates matter

Dates help establish the sequence of events. A report that predates the reported production lot, or a report associated with a materially different timeframe, deserves additional review. Dates alone do not prove or disprove linkage, but inconsistencies are useful signals.

Why Avelqor uses status labels

We use separate labels because “COA available” is too broad to describe the strength of the evidence:

  • Avelqor Batch Verified: the physical inventory lot has been matched to the corresponding report.
  • Independent Lab Verification: a third-party laboratory report is available and can be checked through the issuing source where a verification service exists.
  • Supplier Documentation: the document was supplied by the manufacturer or upstream supplier and is identified as such.
  • Pending Batch Linkage: a report exists, but the connection to current Avelqor inventory has not yet been confirmed.

These labels are intentionally conservative. They prevent a report from being represented as stronger evidence than it actually is.

Three questions to ask

  1. What exact sample was tested?
  2. Which report identifies that sample?
  3. How is that tested sample connected to the exact lot now being supplied?

If the third question cannot yet be answered, the limitation should be stated rather than guessed.
